This
software application was not intended for over the web transactions.
It has NO security features built-in
to protect your data. This is a proprietory stand-alone application.
However, it has many features built in for it's intended purpose.
It's purpose was to monitor and record a live auction with real
people all in the same room. You know the old fashioned way. This
application requires human interaction during a live auction. As
the auctioneer is selling items, someone sits at the computer and
inputs the data as it is being sold. Then after the auction is over
all bidders have to come by and checkout with the computer to get
their receipt before they can leave with their purchased items. |
You know,
the old fashioned way. Screenshot 1 shows you the main default.asp page
which displays a welcome message, application links and help file to
guide you through the application from start to finish. Be sure to read
the system requirements as to make sure this application will work for
you.

By
clicking the "Item Info" and Bidder Info" links in
the top frame, you are presented with each sections input screens
to enter all your items for sale and all your bidders in your auction.
Each Item and Bidder will have their own unique ID number which will
be used throughout your auction. As you enter each item and bidder
then a scroll list will appear beneath each form showing you what
you just entered for visual confirmation before proceeding to the
next item or bidder. If you need to search farther back than your
last 3 items or bidders, then you can click the view all link to produce
an entire list of each item or bidder respectively. If your list is
too long just use the handy search function to locate which item you
are looking for. |
You can
use any field to search. Item number, asking price, description, name
or address as the search functions searches all fields in the database.
If you find out there is an item or bidder you wish to delete, just locate
the line showing that item or bidder and click the delete link and it
disappears from the database. When you have entered all items and bidders
then you are ready to proceed to the Auction Link.

Clicking
the Auction link will take you to the screen where you will place
all Auction bidding information into the database as your Auction
is going on in real time. This page shows your progress throughout
your auction as it shows you the next 2 items up for bid and their
descriptions and asking prices. And also shows you the last two
items just sold. Which makes it very simple to keep up with your
auctioneer as they sell each item. If you make an error on the sell
price or bidder number or item number, don't fret just find the
item in the list and click the delete sale link and re-enter the
correct info again. Simple as 1,2,3. If you need to go farther back
than your last 2 sold items, then click the view all link and you
will be presented a list of every item sold in your auction. You
may also delete sold items from the input screen but only the last
2 items.

Once all
items have been sold, then click on the Bidder Checkout link to input
the bidder number. After inputing the bidder number, you will recieve
a very descriptive invoice listing all items each bidder has purchased
including item number, sell price, description of item and the exact minute
of the sale.

In
the payment module at the bottom of the invoice, just enter the amount
each bidder pays you and description of payment like a check number
or if they paid in cash or other. If they do not want to pay yet but
only see their bill, then you can print off the bottom frame for them
as they can view each item they purchased. Once they are ready to
pay then enter their payment amount and post their payment. On the
next screen you will be presented with a choice of printing out a
regular invoice paid receipt or go on to the next bidder. You have
the option of either. |
At any time
during your auction you may click on the Auction Status link to view a
list of 6 accounting reports at your fingertips. These reports list everything
from Gross Sales reports to Outstanding Receivables. What's even better
they list it by item or by bidder just select which report you want and
the application retrieves the info for you.

It
also gives you the option to print out these reports at any time you
wish, even during your auction. However it is not recommended you
print out these reports until you have sold some items as each report
will be blank and have no listings. Once your auction is completed
and you print out all your reports, then you need to manually back-up
your database for archival purposes, just in case you need to bring
that info back at a later date. Please back up your data before going
into the Admin area. A sample report is shown at left. This is the
Gross Sales by Bidder report and shows you a subtotaled list of each
bidder and then grand totals of your entire auction at the bottom. |
This report
also shows you if each bidder has paid their bill yet. If not then a zero
balance will be in the Paid column, but their purchase prices will be
shown in the Sell Price column. Once you have all the reports you need
and all your bidders have paid their bill, then you are ready to delete
the data if you desire to.

After
backing up your data, now you need to prepare for your next auction.
Since you have entered data already into this one it becomes necessary
to delete all items and bidders in this one. This section is useful
in case you have more than one auction on the same day. You may select
to keep all your bidders and just delete your items. Or you can delete
them all by the click of the mouse right here. Once you have deleted
what sections of the database you desire now you are ready to proceed
to the next auction. In the freeware version you are not allowed to
import items or bidders from another database into this database,
however, |
you can
prepopulate another database with your next auctions items and transfer
the bidder table to the new database if you have Microsoft's Access program
installed. Or if you want I can build you a custom auction application
to suit your needs. You can download your very own application to use
